Terms of Service

1. The agreement

These terms govern your use of Scanlotz Cloud ("the Service"). By creating an account you accept them on behalf of the company you name at signup ("you"). If you do not have authority to accept them for that company, do not create the account.

2. Your account

You are responsible for the accounts you create inside your workspace, the devices you enroll, and the API keys you mint. Keys and passwords are yours to protect; we store only hashes and cannot recover a key you lose — we can only revoke it and issue another.

You must be at least 18 and use the Service for business purposes. One workspace represents one company. You may not resell access to your workspace to third parties without a written agreement with us.

3. Subscriptions, trials and payment

  • Trials run for the period stated at signup and require no payment method.
  • Paid plans bill in advance, monthly or annually, and renew automatically until cancelled.
  • Plan limits are published on our pricing page and enforced by the Service. We warn you inside the console well before a limit is reached.
  • Prices may change with 30 days' notice, effective at your next renewal. A price change is never applied to a period you have already paid for.
  • Fees already paid are non-refundable except where required by law, but you may cancel at any time and keep access to the end of the period you paid for.

4. When an account stops paying

A failed payment puts the account into a past-due state with a notice in the console. After our retry schedule is exhausted the workspace becomes read-only: you can still sign in, still read everything, still export, and still pay to restore writing. We do not hold your data hostage — reading and export remain available.

5. Acceptable use

Do not use the Service to store unlawful content, to attempt to access another customer's workspace, to probe or overload the platform, to circumvent plan limits, or to resell our product identification and pricing capabilities as a standalone data feed. We may suspend a workspace that threatens the platform's stability or other customers, and we will tell you why.

6. Your data

Your warehouse data is yours. We store it to operate the Service for you, we do not sell it, and we do not use the contents of your workspace to train models. We may use aggregate, de-identified operational statistics — volumes, error rates, performance — to run and improve the platform.

Product facts learned from public sources (a barcode's title, brand, category or typical retail price) are platform-level reference data, not your confidential information, and are shared across customers so that common goods resolve instantly for everyone.

7. Availability

We aim for continuous availability and publish incidents as they happen. Planned maintenance is announced in advance and scheduled outside peak warehouse hours where we can. Enterprise agreements may include a written service level; standard plans do not carry one.

8. Termination and what follows

You may cancel at any time from the console. On cancellation your workspace becomes read-only at the end of the paid period and remains exportable for 30 days. After that the workspace and its files are deleted. We may terminate an account for a material breach of these terms, with notice and an export window except where the breach is unlawful activity.

9. Warranties and liability

The Service is provided "as is". Pricing and product identification are estimates drawn from public sources and are not a valuation, an appraisal or advice — you are responsible for the prices you set and the goods you sell. To the extent permitted by law, our aggregate liability arising out of the Service is limited to the fees you paid in the twelve months before the claim, and neither party is liable for indirect or consequential loss.

10. Changes and contact

We may update these terms; material changes are announced in the console at least 30 days before they take effect. Continued use after that date is acceptance. Questions go to support@quicklotz.com.
